We collect information necessary to deliver facilities operations, verify qualifications, and ensure secure physical access:
- Account & Identity Data: Full legal name, business legal entity name, email address, phone number, physical address, profile photographs, and tax identification numbers.
- Compliance & Insurance Records: Certificate of Insurance (COI) documents, policy numbers, coverage limits, policy expiration dates, and Florida Workers' Compensation exemption notices (Form DWC-250 / Notice of Election to be Exempt).
- Photographic Evidence & Service Audits: Digital photographs captured before and after cleaning services to substantiate facility status, pre-existing damages, and completed work orders.
- Background Check Data: Status flags, report identifiers, and clearance confirmations obtained through authorized Consumer Reporting Agencies (such as Checkr or Certn). OpenCleanup does not collect, receive, or store Social Security Numbers (SSNs) or full criminal history transcripts on its servers.
- Device Access & Smart Hardware Logs: Smart lockbox identifiers (such as Igloohome Smart Keybox 3 device IDs), generated access credentials, entry/exit timestamp logs, and battery health statuses.
- Financial & Billing Data: Payment methods, transaction history, and billing addresses processed via our secure third-party payment processor (Stripe). We do not store full credit card numbers on our servers.
2 Device Permissions Required by the App
To function properly, our iOS application requests explicit access to the following device features:

3 How We Use Your Information
We process collected information for the following operational purposes:
- Validating compliance with Florida liability insurance and workers' compensation regulations prior to dispatching commercial assignments.
- Enforcing automated account suspension for expired insurance policies or failed background checks.
- Generating programmatic access windows and temporary PIN codes for commercial lockboxes.
- Resolving client claims, disputes, or damage investigations through verifiable time-stamped photographic evidence.
- Processing subscription billing, hardware leasing, metered usage, and direct sales.
4 Disclosure of Information to Third Parties
We never sell, rent, or trade your personal data. We disclose information only to service providers essential to delivering the Platform:
- Payment Processors: Stripe, Inc. for encrypted billing and subscription management.
- Identity & Screening Partners: Consumer Reporting Agencies (such as Checkr, Inc. or Certn Holdings, Inc.) operating under the Fair Credit Reporting Act (FCRA).
- Hardware & IoT Providers: igloohome Pte Ltd for API synchronization, access log synchronization, and digital key generation.
- Legal & Regulatory Authorities: When required by applicable federal, Florida state, or local laws, or to defend OpenCleanup against legal claims, insurance disputes, or property damage investigations.
5 Data Retention and Security
We implement technical safeguards, including PostgreSQL Row-Level Security (RLS) and end-to-end transport encryption (TLS/HTTPS). Insurance certificates, photographic records, and entry logs are retained for as long as your account remains active or as required by Florida commercial contract statutes of limitations and insurance claim audit requirements.
6 User Rights and Account Deletion (Apple Compliance)
In compliance with Apple App Store guidelines, you have the right to request access to your personal data or delete your account:
Account Deletion Mechanism: You can request account deletion directly within the App via Settings > Account > Delete Account, or by submitting a written request to info@opencleanup.com.
Upon receiving a verified deletion request, we will remove your active profile, credentials, and uploaded media within thirty (30) business days, except where retention is strictly required to comply with insurance liability audits, dispute resolution, or applicable tax and financial laws.
7 Children's Privacy
OpenCleanup is exclusively intended for commercial contractors and business operations. We do not knowingly collect or solicit data from individuals under the age of 18.
